App Settings
Manage personal preferences, shared store settings and team access in the Stokkap app. Store settings are organised into General, Inventory, Fulfilment, Shipping, Forecasting and POS Receipts tabs.
Accessing settings
Open Settings in the sidebar. Everyone can manage their profile. Owners and client admins can access Stores, Users and Activation within their permitted stores. Some controls require the appropriate permissions, subscription or Connect version.
Profile and preferences
Settings → Settings contains your personal preferences. Store settings are shared by everyone using that store.
Profile, language and reports
- Display name: change how your name appears. Your email address is read-only.
- Language: choose from 14 app languages: English, Czech, Danish, German, Spanish, Finnish, French, Hungarian, Italian, Norwegian, Dutch, Polish, Slovak and Portuguese. Changing language clears the app cache and reloads the page; reports and notifications use your chosen language.
- Stock report emails: enable or disable them, choose Daily or Weekly and a send hour in UTC. Weekly reports also have a weekday. Reports cover accessible stores and include low/out-of-stock summaries with a CSV attachment; staff receive reports only for assigned stores.
Password and privacy
Change your password using your current password and a new password of at least 12 characters. Read the Privacy Policy and contact support with questions about your personal data.
Clear cache
Use Clear Cache to troubleshoot stale data or display problems. It clears the local app cache and reloads fresh data while preserving your login and selected store. An internet connection is required.
Stores
Open Settings → Stores. Store cards show the name, website, active status, product/location counts and sync status. Add Store opens Activation; connections are subject to store access and your plan’s limit. See Getting Started.
Manual sync, disconnection and support
Sync Now refreshes the full product catalogue. The progress modal can be dismissed with Run in Background; work continues on the server and you are notified on completion.
The trash icon disconnects a store and permanently removes its Stokkap copy, including products, logs, stocktakes and alerts. WooCommerce data is unaffected. Reconnecting starts a fresh sync.
Stokkap Support Access is off by default. Enable it when working with support to allow troubleshooting access to your stores, then turn it off afterwards.
Store settings
Click the settings icon on a store card to open Edit store. The tabs below contain shared store settings; availability depends on permissions, subscription and compatible plugin versions.
General tab
- Store details: edit the display name and active status. Inactive stores pause syncing and are hidden from day-to-day use without deleting data. The website URL is read-only; disconnect and reconnect if it changes.
- Show serial features: show or hide serial tools for this store. Hiding them does not delete existing serials or disable the WooCommerce plugin.
- Scheduled full sync: choose Off, Weekly or Daily, a weekday for Weekly, and a local start time. The store timezone is read-only. Check the next scheduled sync and last completed full sync here.
Webhooks deliver changes promptly; a full sync refreshes the complete product catalogue. Turning off scheduled full sync does not disable webhooks. This schedule uses the store timezone; personal stock-report emails use UTC. See plugin webhook settings.
Inventory tab
Excluded inventory location types
If you track supplier-held stock or stock that is not immediately available to pick, configure inventory exclusions before relying on purchasing recommendations, restock calculations or inventory valuations. Otherwise, stock you do not physically hold may be treated as available inventory.
Select the location types to exclude for this store. The exclusion applies to their locations, and stock remains visible. Purchasing distinguishes available inventory from stock that needs ordering, and Pick & Pack can identify items awaiting stock.
Excluded quantities do not count as available stock for purchasing/restock calculations, financial charts and exports, or current serial-inventory/discrepancy reporting and alerts. Physical purchasing and serial receipts must go into an eligible, non-excluded location.
Example: you hold 5 units in your shop and display another 100 at your supplier. Excluding the Supplier type prevents purchasing and inventory valuation from treating all 105 as stock you hold.
Inventory exclusion does not make stock non-sellable in WooCommerce. A supplier location can remain sellable while excluded from available inventory in these app workflows. Non-sellable locations separately prevent quantities contributing to selling stock; see Location Management for setup.
Costs and exchange rates
The app displays the store’s cost currency and tax basis, with a link to plugin settings where defaults are configured. Cost-currency support requires Connect 1.6.1 or newer.
Enter exchange rates manually per store. Add a row for each required foreign currency, enter a positive rate and save. The rate is the value of one unit of that currency in the WooCommerce store currency. Keep rates updated for converted valuations.
Example: with GBP as the store currency, EUR at 0.86 means €1 = £0.86. A €10 cost converts to £8.60 for valuation.
Rates support valuation/reporting conversion. They do not rewrite original product costs, change selling prices or convert WooCommerce’s store currency. Missing required rates can leave converted values unavailable or totals incomplete: resolve the exchange-rate warning rather than assume currencies are equivalent.
Currency conversion does not reconcile different tax bases. Interpret costs including tax and excluding tax correctly.
Serial metadata
Optionally enable serial weight tracking, choose kg, g, lb or oz, and enable serial expiry tracking. Visibility depends on Show serial features, subscription and permissions. These settings do not automatically enable serial tracking on every product.
Fulfilment tab
- Processing-order sequence: choose newest or oldest first as the default for creating pick lists. You can change it for an individual list.
- Packing-slip content: show prices, SKU and eligible serial information. Set the logo, shop name, accent colour, header and footer.
- Order barcodes: show the barcode on order detail and choose whether to print it on packing slips and pick lists.
- Invoices: control SKU and serial display, VAT/tax number and its label, company number, invoice-number prefix and footer.
These controls apply to Stokkap documents. They do not override every template provided by third-party WooCommerce PDF plugins.
Order barcodes and printing
The format is STK-ORD-{numeric_order_id}, using the numeric WooCommerce/Stokkap order ID rather than the display order number. It is a 1D barcode, not a QR code. On the Scan page, scanning it can offer actions to open the order or create/open its pick list, subject to staff permissions and enabled store features. It can also be used on Orders and in Pick & Pack packing mode to find or select an order.
Pick-list detail has a print action. Printed lists show location groups, products, SKU/barcode, required quantity, a manual-pick checkbox and completed picked quantities. Order links open Stokkap order detail, which recognises existing multi-order and completed pick lists.
On iPhone/iPad installed as a PWA, printing uses the Stokkap print helper; a Done prompt may appear afterwards.
Shipping tab
Connect Shippo with separate test and live API keys and select the environment for new labels. Save before testing the connection or enabling tracking updates; check connection status and complete tracking-update setup. Availability depends on your plan and a compatible plugin. See Shippo setup for details.
- Defaults: set weight/dimension units, parcel dimensions, origin country and carrier selection.
- Dispatch addresses: manage addresses and choose the default.
- Parcel presets: configure dimensions, packaging weight and preset ordering.
Live labels purchase real postage. Switching environments preserves saved keys and existing labels. Use the separate disconnect control to disconnect the integration.
Forecasting tab
Enable forecasting and prepare its history
- Open Settings → Stores → Edit store → Forecasting.
- Enable Restock forecasting and click Save. Order Management must also be enabled.
- Reopen the store settings, return to Forecasting and start the historical backfill.
- Stokkap prepares the previous 90 days of product-demand history in the background. Continue working and return to check progress, status, elapsed time and retry/error information.
Forecasting uses product and variation IDs, quantities, order dates and statuses, and item refunds. Processing and Completed orders contribute to demand; refunded quantities and Refunded orders reduce it.
Privacy: forecasting does not request customer names, email addresses, telephone numbers or billing/shipping addresses. It stores product-demand records and order/refund references needed for accurate calculations, rather than customer profiles.
Forecasting estimates replenishment needs; it does not automatically place purchase orders. Configure inventory exclusions correctly for useful restock calculations.
POS Receipts tab
Set the receipt logo, thank-you message, footer, business address, telephone and website. Show tax on receipts controls receipt presentation, not whether sales are taxed. POS availability depends on subscription and permissions.
Saving and separate actions
Use the store modal’s Save button for tab settings, including general details, sync schedules, inventory exclusions, exchange rates, serial options, documents, shipping defaults/keys, forecasting enablement and receipts. Save shipping changes before connection tests or tracking setup; save forecasting before reopening and starting backfill.
Manual sync, store disconnection, Shippo connection tests, tracking setup, address/preset management, integration disconnection and historical backfill have separate controls. Profile/password changes, Clear Cache, support access and user actions use their own controls outside the store modal.
Users and permissions
Invite staff, choose roles, stores and permissions, and maintain accounts under Settings → Users. Owners and Client Admins can manage eligible users within their access. See Managing Users for invitations, ownership, permissions and removing access.
Header controls
Use the sun/moon icon for your saved light/dark preference and the store selector to switch the current store’s data. Click the sync percentage icon to inspect manual or scheduled sync progress.
The plugin-health dot is green/pulsing when healthy, orange/blinking for degraded service, red/blinking when down and grey when unchecked. If degraded or down, restore the connection before changing stock. Check the WooCommerce site, plugin activation and connection settings.
