Stokkap - Stock Management for WooCommerce

1. Introduction
Welcome to Stokkap. These Terms of Service ("Terms") govern your use of the Stokkap platform and services ("Service") operated by TechWonders, a trading name of PC Buddy 247 ("Company", "we", "us", or "our"), based in England.
By accessing or using our Service, you agree to be bound by these Terms. If you disagree with any part of these Terms, you may not access the Service.
Stokkap provides inventory management software designed specifically for WooCommerce stores, enabling stock tracking across multiple locations, barcode scanning, stocktakes, and staff access control.
2. Definitions
- "Customer" refers to the organisation or individual who subscribes to our Service.
- "User" refers to any individual granted access to the Customer's Stokkap account, including employees and staff members.
- "Store" refers to a WooCommerce website connected to Stokkap via our plugin and API.
- "Product Data" refers to product information synchronised from your WooCommerce store.
- "Platform" refers to the Stokkap web application accessible at my.stokkap.app and associated infrastructure.
3. Account Registration & Access
3.1 Eligibility
To use Stokkap, you must:
- Be at least 18 years of age
- Have the authority to bind your organisation to these Terms
- Have administrative access to your WooCommerce store to install our plugin and grant API access
3.2 Account Security
You are responsible for:
- Maintaining the confidentiality of your account credentials
- All activities that occur under your account, including actions by Users you have granted access
- Notifying us immediately of any unauthorised access or security breach at legal@stokkap.app
3.3 Accurate Information
You agree to provide accurate, current, and complete information during registration and to update such information to keep it accurate, current, and complete.
4. Data Collection & Storage
4.1 What We Store
Stokkap stores the following data on our servers:

4.2 What We Do NOT Store
- Product Images - Images are fetched directly from your WooCommerce store and are not stored on our servers
- Customer/Order Data - We do not access or store your WooCommerce customer information or order details beyond what is necessary for stock level calculations
- Payment Card Details - All payment processing is handled securely by Stripe; we never see or store your full card details
4.3 Data Location
All data is stored on servers located within the United Kingdom.
4.4 Data Retention
- Active accounts: Data retained for the duration of your subscription
- Cancelled accounts: Data retained for 30 days, after which it is permanently deleted
- You may request data export or deletion at any time by contacting legal@stokkap.app
4.5 Your Rights
You have the right to:
- Access your data
- Request correction of inaccurate data
- Request deletion of your data
- Export your data in a portable format
- Withdraw consent for data processing

5. WooCommerce Integration
5.1 API Access
Stokkap requires API access to your WooCommerce store to function. By connecting your store, you authorise Stokkap to:
- Read product information (names, SKUs, prices, stock levels, categories, images URLs)
- Update stock levels as directed by you or your authorised Users
- Receive webhook notifications for orders and stock changes
5.2 Plugin Installation
Our WordPress plugin facilitates the connection between your store and Stokkap. You are responsible for keeping the plugin updated to ensure compatibility and security.
5.3 Your Responsibility for Backups
Important: You are solely responsible for maintaining adequate backups of your WordPress website and WooCommerce data. We strongly recommend implementing a robust backup solution before connecting your store to Stokkap.
Stokkap is not responsible for any data loss, corruption, or unintended changes to your WooCommerce store. While we take every precaution to ensure accurate data synchronisation, errors can occur.
6. Disclaimer of Responsibility
6.1 Data Accuracy
Stokkap provides tools to manage your inventory, but we cannot guarantee the accuracy of data synchronisation between your WooCommerce store and our platform. You acknowledge that:
- Stock discrepancies may occur due to synchronisation delays, network issues, or software conflicts
- You are responsible for verifying stock levels and reconciling any discrepancies
- Regular stocktakes are recommended to ensure data accuracy
6.2 No Liability for Errors
We are not responsible for:
- Incorrect stock levels displayed on your website due to synchronisation issues
- Overselling or underselling resulting from data discrepancies
- Business losses arising from reliance on Stokkap data
- Third-party plugin conflicts affecting functionality
- Data loss resulting from failure to maintain adequate backups
6.3 Service Availability
While we strive for high availability, we do not guarantee uninterrupted access to the Service. Scheduled maintenance, updates, and unforeseen technical issues may temporarily affect availability.
7. Lifetime Deal (Early Access)
7.1 Lifetime Deal Terms
- Lifetime deal licences grant access to Stokkap Core features for as long as the Service operates
- Each licence includes 1 WooCommerce store, unlimited users, and unlimited locations
- "Lifetime" refers to the lifetime of the product, not a guarantee of perpetual operation
- Lifetime deals are non-transferable and may not be resold
7.2 What's Included
Lifetime deal holders receive:
- All Stokkap Core features available at time of purchase
- Ongoing updates and improvements to Core functionality
- Email support
7.3 What's Not Included
Advanced features released as part of subscription-only plans (such as Pick & Pack, smart shipping, POS, and advanced fulfilment) are not included in lifetime deal licences. Access to these features requires a separate subscription.
7.4 Refunds
Lifetime deal purchases are covered by a 14-day money-back guarantee from the date of purchase. Refund requests should be sent to legal@stokkap.app.
8. Subscription & Payment
8.1 Pricing
Subscription pricing is displayed on our website at stokkap.app/pricing. All prices are in GBP (£) unless otherwise stated. Prices may be subject to VAT or other applicable taxes depending on your location.
8.2 Billing
- Subscriptions are billed in advance on a monthly or annual basis
- Annual subscriptions receive a discount as displayed at time of purchase
- Billing occurs on the same date each month/year as your initial subscription
- All payments are processed securely through Stripe
8.3 Failed Payments
If a payment fails:
- We will attempt to process the payment again
- You will be notified by email of the failed payment
- Access to the Service will be suspended if payment is not received within 7 days of the original due date
- Your data will be retained for 30 days following suspension
- After 30 days of non-payment, your account and data may be permanently deleted
8.4 Upgrades & Downgrades
- You may upgrade your plan at any time; the new rate will be prorated
- You may downgrade your plan at the end of your current billing period
- Downgrades that would exceed store limits require you to disconnect stores before the change takes effect
8.5 Refunds
- Annual subscriptions: You may request a full refund within 14 days of initial purchase if you are not satisfied with the Service
- Monthly subscriptions: No refunds are provided for partial months
- Refunds are not provided for unused portions of cancelled subscriptions outside the 14-day window
- Refund requests should be sent to legal@stokkap.app
8.6 Cancellation
You may cancel your subscription at any time through your account settings or by contacting legal@stokkap.app. Upon cancellation:
- You will retain access until the end of your current billing period
- No further charges will be made
- Your data will be retained for 30 days after your subscription ends
- You may request immediate data deletion if preferred
9. Acceptable Use
9.1 Permitted Use
You may use Stokkap for lawful business purposes related to inventory management for your WooCommerce store(s).
9.2 Prohibited Activities
You agree not to:
- Use the Service for any illegal purpose or in violation of any laws
- Attempt to gain unauthorised access to the Service or its related systems
- Interfere with or disrupt the integrity or performance of the Service
- Reverse engineer, decompile, or attempt to extract the source code of the Service
- Use automated tools to access the Service in a manner that exceeds reasonable use
- Resell or redistribute the Service without our written consent
- Use the Service in a way that could damage our reputation or the reputation of Stokkap
10. Intellectual Property
10.1 Our Property
The Stokkap platform, including its design, features, functionality, code, and documentation, is owned by PC Buddy 247 and is protected by intellectual property laws. You are granted a limited, non-exclusive, non-transferable licence to use the Service for its intended purpose.
10.2 Your Data
You retain all ownership rights to your data. By using Stokkap, you grant us a limited licence to store, process, and display your data solely for the purpose of providing the Service.
11. Limitation of Liability
11.1 Service Provided "As Is"
The Service is provided on an "as is" and "as available" basis without warranties of any kind, either express or implied.
11.2 Limitation
To the maximum extent permitted by law, TechWonders / PC Buddy 247 shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, business opportunities, or goodwill, arising from your use of the Service.
11.3 Cap on Liability
Our total liability to you for any claims arising from your use of the Service shall not exceed the total amount paid by you to us in the 12 months preceding the claim.
12. Indemnification
You agree to indemnify and hold harmless TechWonders / PC Buddy 247, its owners, employees, and agents from any claims, damages, losses, or expenses (including legal fees) arising from:
- Your use of the Service
- Your violation of these Terms
- Your violation of any rights of a third party
- Actions taken by Users you have granted access to your account
13. Termination
13.1 By You
You may terminate your account at any time by cancelling your subscription and requesting account deletion.
13.2 By Us
We may suspend or terminate your access immediately if:
- You breach these Terms
- You fail to pay applicable fees
- Your use poses a security risk to our platform or other customers
- You engage in prohibited activities as described in these Terms
- Required by law or regulatory authority
13.3 Effect of Termination
Upon termination:
- Your access to the platform will be revoked
- API access to your WooCommerce store will cease
- Your data will be retained for 30 days, during which you may request export
- After 30 days, all your data will be permanently deleted
14. Changes to Terms
We may update these Terms from time to time. We will notify you of any material changes by email or through the platform at least 30 days before they take effect.
Continued use of the Service after changes become effective constitutes acceptance of the new Terms. If you do not agree to the updated Terms, you must stop using the Service and cancel your subscription.
15. Governing Law & Disputes
These Terms are governed by the laws of England and Wales. Any disputes arising from these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Before initiating legal proceedings, both parties agree to attempt to resolve disputes through good-faith negotiation for a period of at least 30 days.
16. General Provisions
- Entire Agreement: These Terms constitute the entire agreement between you and TechWonders / PC Buddy 247 regarding the Service.
- Severability: If any provision of these Terms is found unenforceable, the remaining provisions shall continue in effect.
- Waiver: Failure to enforce any provision does not constitute a waiver of that provision.
- Assignment: You may not assign your rights under these Terms without our written consent. We may assign our rights to a successor in the event of a merger, acquisition, or sale of assets.
- Force Majeure: We are not liable for delays or failures caused by circumstances beyond our reasonable control.
